Please read the following terms and conditions carefully prior to signing any booking form or paying your deposit.

2. We will not be held liable for non-fulfilment of this contract by the management, hirer, or the Forest Disco although every reasonable precaution will be taken. In the event of the client seeking compensation, we will not be held liable under any such claim, and the contracted Forest Disco will only be liable for a sum up to and not exceeding the contracted amount. New Forest Disco reserves the right to amend or withdraw the terms & conditions (as listed below and online), promotional offers and any written, printed, verbal or displayed (including internet resources) at any point.

Bookings & Payments

1. All bookings are only confirmed upon payment of your deposit. All deposits are non refundable. New Forest Disco reserves the right to accept another booking for the date until your deposit is paid and the booking form has been sent back to us signed.

2. We reserve the right to cancel any bookings we feel are inappropriate or not safe for Forest Disco. Our booking form contains all necessary questions relating to your event. If you withhold or supply false information, which may affect the amount we may charge or we may cancel your booking at any point or demand that the full payment is made.

3. For one off events, such as weddings and birthday parties New Forest Disco must be paid the remaining amount in cash prior to setting up. If you require an invoice please notify us within three days of the event-taking place.

4. We require no less than 14 days notice for each booking and deposits must be cleared within one week of the event-taking place.

5. All bookings should be taken in the understanding that the venue is in possession of all the necessary entertainment, safety and liquor licences. We are not responsible if the venue is found to be in breach of any law or required licence.

6. All regular events need to be paid in full on the night of the event. For regular events New Forest Disco will require you to sign a contract and pay one event upfront as a deposit. Further amounts will be paid to the Forest Disco on end of month basis. If you cancel the contract prior to the finish date any deposit will not be refunded and you will be liable for the entire fee . For all regular events we will send you an invoice for payment within seven days.

7. For all events not paid on time an administration fee will be charged at 2 ½ above bank base rate until the required amounts are settled. We will issue only one reminder letter. Non-payments will then result in court action after 2 months, which will include an £80 charge on top of pre explained interest.

Cancellations:

1. Any cancellations must be made within 30 days of the event-taking place. The deposit will not be refunded. Full payment will be charged if the booking is cancelled within 30 days of the event. This includes any short notice bookings.

2. All events are signed in a contract between you and New Forest Disco. If, in the unlikely case that New Forest Disco does not attend your event for any reason we will try our best to find a similar substitute. If the cancellation is because of our negligence then we will refund your deposit. Any legal action must be taken between yourself and New Forest Disco.  If the cancellation is because of unforeseen and uncontrollable circumstances not resulting in any administration negligence by us then we do not accept any responsibility for any payment or loss of earnings whatsoever.

Setting up Packing up

1. It will take approximately 1-2 hours to set up/pack up with a short travelling distance from the parking spot and the location the event is taking place. It is the customer’s responsibility to advise prior to paying the deposit of obstructions of any form (such as crowds of people, flights of stairs or long distances to carry equipment) as this will mean that pack up and set up will take considerably longer. New Forest Disco takes no responsibility if playtime is shortened due to unforeseen obstructive circumstances.

2. If you require more than two hours for New Forest Disco to set up please notify New Forest Disco prior to booking and pay the required sum.

3. New Forest Disco will require at least three metre-squared space to set up and at least two plug sockets near to the performance area. It is your responsibility to check this prior to booking. If New Forest Disco finds that they must set up in

inappropriate conditions we reserve the right to restrict the performance as agreed in the contract/agreement or, in the worst circumstances to cancel the event altogether, and the full amount is still liable to be paid.

4. It is your responsibility to make sure that there is at most 5 metres space between the performance area and two plug sockets. It must also be safe to lay any electrical or audio wires across this space. Any accidents, damages or loss of power resulting in poorly laid wires between the power points and the performance area is your responsibility.

5. Please note that not all equipment is suitable for narrow corridors/door openings, stairs/elevators and uneven surfaces. It is your responsibility to notify New Forest Disco of any obstructions to the performance area. New Forest Disco may not set up if he or she feels that it is not practical to set up in these conditions then full payment will be required without any performance.

6. A charge of £25 must be paid for upstairs venues when booking as it takes twice as long to setup and packup. This option is on the booking form. If this information is not disclosed to New Forest Disco New Forest Disco reserves the right to add this amount on to his/her payment. They also reserve the right not to set up at all if they feel that your venue is either not safe or inconvenient to set up. In this case payment in full will be required from the client.
